Pimpri-Chinchwad Municipal Corporation Goes Paperless; Files to Become a Thing of the Past

Beginning January 15; Administration work paperless

Pimpri-Chinchwad : A new system has been developed for managing documents via e-mail and Document Management Systems (DMS). As a result, all government records and documents within the municipal corporation are being stored electronically. This shift to a paperless operation will save time, streamline administration, and ensure transparency. The e-office system will be implemented across all departments of the municipal corporation from January 15, as per the information shared by Commissioner Shekhar Singh.

The e-office system has been developed to bring transparency and speed to the municipal administration, while also supporting a paperless working environment. The project has been undertaken with the collaboration of the Smart City initiative and the municipal corporation, utilizing the GIS-enabled ERP project. A total of 33 modules have been created under this project to integrate the e-office system in administration. Pimpri-Chinchwad Smart City Limited has implemented the GIS-enabled ERP project, which has cost around ₹83 crore. As part of this, the day-to-day operations of 35 departments in the municipal corporation will now be managed through the e-office system, starting online operations across all departments.

Records and Files Will Be Digitally Created

To ensure the effective implementation of the new system, training sessions were held for officers and employees to familiarize them with the working of the system. The focus was on training for the Document Management System (DMS). The DMS system will help in the digital creation of records and files. In case of any technical issues or errors during document creation, the department heads have been instructed to report them in writing to the administration department. The observations made by the department heads will be addressed by the Chief Information and Technology Officer.

The GIS-enabled ERP project under the Smart City initiative will prove to be highly beneficial. This is the only project of its kind in the country, where all the municipal corporation departments are integrated with Geographic Information Systems (GIS) and Enterprise Resource Planning (ERP). This will improve the efficiency of services provided to citizens and make the administration more effective.
